Privacy Policy

EzzyBooks (“EzzyBooks”, “we”, “us”) provides cloud accounting software and related services through ezzybooks.ai, dashboard.ezzybooks.ai and our other applications (together, the “Service”). This policy explains what information we collect, how we use it and the choices you have. By using the Service you agree to this policy.

1. Information we collect

• Account information. Your name, mobile number (used for OTP sign-in), business name, GSTIN and similar registration details you provide when creating an account.
• Business and accounting data. The books you keep in EzzyBooks: invoices, purchase bills, parties, items, inventory, payments, reports and documents you upload or forward, including bill photos and PDFs sent to EzzyBooks AI.
• Usage information. How you interact with the Service, such as pages visited, features used, device and browser type, IP address and approximate location, collected via cookies and similar technologies.
• Communications. Messages you send us, including WhatsApp conversations with our team for demos and support.

2. How we use your information

• To provide and operate the Service: keeping your books, generating invoices and e-invoices, preparing GST reports and syncing your data across devices.
• To power EzzyBooks AI features you use, such as reading a forwarded bill to prepare a draft voucher or answering questions from your ledger. AI actions are draft-safe: nothing posts to your books without your confirmation, and actions are audit-logged.
• To provide support, respond to your requests and share service updates.
• To improve the Service, understand usage patterns and fix problems.
• To market the Service, measure campaigns and show relevant ads, using the analytics and advertising tools described below.
• To comply with applicable law, including tax and accounting regulations.

3. Cookies, analytics and advertising

Our website uses Google Tag Manager, Google Analytics, Meta (Facebook) Pixel and Bing webmaster tools. These tools set cookies and collect usage data to help us measure traffic, understand how visitors use the site and improve our marketing. You can control cookies through your browser settings; the site will still work with cookies disabled, though some measurement will not.

4. How we share information

We do not sell your personal information or your business data. We share information only with:

• Service providers that help us run the Service, such as cloud hosting, SMS/OTP delivery, analytics providers and AI model providers that process the content you submit to EzzyBooks AI features.
• People you choose to share with, for example when you send an invoice link to a customer, a WhatsApp payment reminder to a party, or give your chartered accountant access to your books.
• Authorities, when required by law, court order or to protect our legal rights.

5. Your data stays yours

Your books belong to you. You can export parties, items, vouchers and reports to CSV at any time, at no charge. If you stop using EzzyBooks, you can take your data with you.

6. Security

We use industry-standard safeguards to protect your data, including encrypted connections, access controls and audit logs for AI actions. No system is perfectly secure, so please keep your login device safe and report anything suspicious to us immediately.

7. Data retention

We retain your account and accounting data for as long as your account is active, and afterwards as needed to comply with legal, tax and accounting obligations. You may request deletion of your account and associated personal information, subject to records we must keep by law.

8. Your rights

You may access, correct or update your account information at any time from the dashboard. You may also contact us to request a copy of your personal information or its deletion. We respond to requests within a reasonable time and in line with applicable Indian data protection law.

9. Children

The Service is intended for businesses and their authorised users. It is not directed at children under 18, and we do not knowingly collect their information.

10. Changes to this policy

We may update this policy from time to time. We will post the updated version on this page with a new date, and for significant changes we will notify you in the app or by message.

Terms and Conditions

These terms govern your use of the Service. By creating an account or using EzzyBooks, you agree to them on behalf of yourself and the business you represent.

1. The Service

EzzyBooks is cloud accounting software for businesses: GST billing and e-invoicing, inventory, POS, reports and EzzyBooks AI features such as Forward-a-Bill, ask-your-books, the Daily Business Brief, cash runway and the AI GST copilot. Features available to you depend on the plan you purchase.

2. Accounts

• You must provide accurate registration details and keep them current.
• You are responsible for activity under your account and for keeping your sign-in device and OTPs secure.
• You may invite team members within your plan limits; you are responsible for their use of the Service.

3. Plans, fees and payment

• Plans are billed annually at the prices shown on our pricing page at the time of purchase. Prices may change; changes apply from your next renewal.
• A tax invoice is issued for every subscription payment.
• Fees are non-refundable except where required by law or expressly agreed in writing.
• You may upgrade at any time; the unused value of your current plan is adjusted against the new plan.

4. Your data and responsibilities

• You retain all rights to the business data you enter into EzzyBooks.
• You are responsible for the accuracy and completeness of your books, invoices and filings. EzzyBooks prepares filing-ready data, but review and filing remain the responsibility of you and your chartered accountant or tax professional.
• You confirm you have the right to upload the documents and information you submit, including bills you forward to EzzyBooks AI.

5. EzzyBooks AI

• AI features are draft-safe: EzzyBooks AI prepares drafts and answers, and nothing posts to your books without your confirmation. Every AI action is audit-logged and reversible.
• AI answers are narrations of numbers from your ledger. Verify important outputs before acting on them.
• EzzyBooks AI is a software tool. It does not provide professional accounting, tax or legal advice and does not replace your chartered accountant.

6. Acceptable use

Do not misuse the Service: no unlawful activity, no attempts to breach security or access other customers’ data, no reselling of the Service without our written consent, and no use of the Service to send spam or unlawful communications, including through WhatsApp reminder features.

7. Intellectual property

EzzyBooks, its software, design and branding remain our property. We grant you a limited, non-exclusive, non-transferable right to use the Service for your business during your subscription. Your data remains yours.

8. Availability and changes

We work to keep the Service available at all times, and features like the offline-first POS are designed to keep you billing through interruptions. We may improve, add or retire features with reasonable notice for material changes. Planned maintenance is communicated in advance where practical.

9. Limitation of liability

To the maximum extent permitted by law, EzzyBooks is not liable for indirect or consequential losses, loss of profits or loss of data caused by events beyond our reasonable control. Our total liability for any claim relating to the Service is limited to the subscription fees you paid to us in the twelve months before the claim arose.

10. Termination

You may stop using the Service at any time. We may suspend or terminate accounts that breach these terms, with notice where reasonable. On termination you can export your data to CSV; clause 7 of the Privacy Policy governs retention afterwards.

11. Governing law

These terms are governed by the laws of India. Disputes are subject to the jurisdiction of the courts at the registered place of business of EzzyBooks.
